The Return Path™ and associated YvonneB Limited professional services
At YvonneB Limited, we recognise that trust matters, particularly when people share information in coaching, wellbeing and personal development. This policy explains what we collect, why we use it, how we protect it and the rights available to you.
It applies when you visit thereturnpath.org, contact us about The Return Path™ or our professional services, subscribe to communications, purchase digital resources, or participate in our coaching, speaking, facilitation, workshops and organisational programmes. It does not describe the separate personal training service.
YvonneB Limited is the data controller for the activities described here.
Contact and enquiry information
Your name, email address and the information you choose to provide when contacting us.
Subscription information
Details needed to deliver resources, newsletters and communications according to your preferences.
Coaching and professional service information
Relevant booking and contact information, agreements, correspondence and information you choose to share to support agreed work. We do not routinely request or record medical or other special category personal information. Such information may nevertheless be shared voluntarily, including through correspondence, and will be handled with particular care.
Coaching session records
Concise written reflections or, where chosen, summaries of the client’s own actions and intentions. They are not transcripts or full narratives of sessions. A client may ask to make a personal recording by prior agreement; YvonneB Limited does not routinely record or transcribe sessions, or ordinarily receive client recordings.
Payment and transaction information
Information needed to administer payments and financial records, including transaction dates, amounts and status; full card details are not ordinarily held by us.
Website technical information
Our website host and authorised services may process IP addresses, device and browser information, pages requested and related technical data. Online identifiers may constitute personal information. Cookies and similar technologies are explained in the website Cookie Policy and managed through our consent controls.
We process information for specified purposes and must have an appropriate lawful basis under UK data protection law. The exact basis depends on the purpose and circumstances.
Enquiries
To respond to questions and discuss requested services. The relevant basis may be steps towards a contract or legitimate interests, depending on the enquiry.
Coaching and professional services
To arrange, deliver and administer agreed services, generally where necessary for contract performance. Some related administration may have a different basis.
Coaching records
To provide agreed reflective support and maintain proportionate records. We do not routinely include medical details or other special category personal information in these records. If it becomes necessary to process identifiable special category information, we will first assess the relevant Article 6 lawful basis, an applicable Article 9 condition and any other legal requirements.
Where a matter arises outside our coaching or facilitation scope, we may suggest seeking advice or support from an appropriately qualified professional or relevant service. Signposting does not mean we provide medical or other specialist treatment.
Newsletters and resources
To deliver subscriptions, requested materials and optional marketing in line with applicable consent and electronic marketing rules. You can unsubscribe from optional marketing.
Purchases and accounting
To manage transactions and comply with financial, accounting and legal duties.
Website operation
To maintain site functionality, safety and security. Where non-essential analytics technologies are used, their operation is subject to the visitor consent choices offered through the website’s cookie controls.
Legal matters
To comply with law and, where justified, protect legal rights or address disputes. Legitimate interests are assessed against the impact on individuals.
We use service providers only as needed to operate and deliver our services. Depending on the interaction, they include:
Microsoft 365
Outlook for business correspondence and OneDrive for Business for restricted confidential coaching records.
Hostinger
Website hosting, security and technical request data.
Kit
Email subscriptions, mailing lists and requested resources.
Zoom
Scheduling and online meetings where applicable.
Payments
Bank transfer and, where offered, Stripe and PayPal. The provider involved depends on your payment choice.
OpenAI / ChatGPT
Limited writing and structuring support using sufficiently generalised reflections. We do not intentionally submit names or identifying and sensitive client details. Final identifiable coaching records are completed by the coach outside ChatGPT.
Website analytics
Complianz manages the website cookie consent interface. Google Analytics, connected through Site Kit by Google, is used to understand website activity. Our website developer has confirmed that Google Analytics collects visitor analytics data only when the visitor permits it, and that there are no other active analytics or marketing plugins. Visitors can manage their choices through the cookie consent controls. Further details about cookies are provided in the website Cookie Policy.
We may also share information where required by law or where necessary to establish, exercise or defend legal rights, subject to applicable safeguards.
Some providers may process data internationally.
Subject to applicable conditions and exemptions, your rights under UK data protection law may include being informed; access; correction; deletion; restriction; portability; objection; and safeguards concerning solely automated decisions with significant effects.
Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing. Some records must be retained to meet legal obligations even when you request deletion.
Contact info@yvonnebltd.com to exercise your rights. We ordinarily respond within one calendar month in accordance with applicable requirements. You can also complain to the Information Commissioner’s Office at www.ico.org.uk.
Coaching session records
Ordinarily during the coaching relationship and for 12 months following its end, then securely deleted unless there is a specific justified reason to retain them longer.
Signed Coaching Agreements
Signed Coaching Agreements are retained separately from coaching recaps, ordinarily for seven years after the coaching relationship ends, reflecting relevant professional guidance. A different period may apply where an applicable legal obligation or specific justified reason requires it. [REVIEW: Confirm suitability of this retention policy and insurer requirements.]
Administrative and financial records
Kept as necessary for business, tax and legal obligations, with periods determined by the applicable rules.
Enquiries and correspondence
Reviewed and removed once no longer required for the purpose, subject to legitimate record-keeping needs.
Marketing subscriptions
Active subscription information is held while subscribed; limited suppression information may be kept to honour unsubscribe requests.
Technical and analytics data
Held in accordance with the applicable hosting, security and analytics settings.
We periodically review records and delete or anonymise them when no longer needed. Provider backups may persist for limited periods subject to their deletion processes.
We use proportionate organisational and technical measures including data minimisation, access controls and established business systems. Confidential coaching records are stored within Microsoft 365 OneDrive for Business with restricted access. Final written coaching documents are sent by Outlook as password-protected PDFs; the client-specific password is communicated separately.
AI assistance is limited to sufficiently generalised drafting inputs and each final document is checked and completed by the coach. We seek to avoid duplicate copies of confidential records and review their retention. No electronic system can be guaranteed entirely secure.
We may update this policy to reflect changes in services, practices, technology or law. We will update its effective date when published and take appropriate steps to inform individuals of material changes where required.
